What we collect
When you send an enquiry: your name, email address, phone number, what you're enquiring about, your message, and when you'd prefer to be contacted.
When you complete a clearance form: your name, contact details, date of birth, home address, emergency contact, medical history, medication, general wellbeing, pregnancy status, and your typed signature, along with the agreements you tick and when you ticked them. The period pain form also asks six safety questions.
If you sign up for updates: your name and email address.
If you sign up at a careers or recruitment event: your name, email address, university, graduation year and what you said you were interested in.
Why we use it
To reply to your enquiry, to make sure treatment is safe and suitable for you, to keep a record of what you've agreed to, and to run your appointments. If you've ticked the box for updates, we'll also send you occasional emails, and you can unsubscribe from any of them at any time.
If you signed up at a recruitment event, we use your details only to send you the information pack and to contact you about the role and careers in private practice.
We never sell your data. We only share it with the service providers listed below, or where required by law.
Why we're allowed to use it
- Your health information: to provide safe treatment and care. This is health data, which the law allows us to use for providing health care (UK GDPR Article 9(2)(h)), alongside our agreement to treat you (Article 6(1)(b)).
- Your enquiry: to reply to you and arrange your first appointment at your request (Article 6(1)(b)).
- Email updates: only with your consent, which you can withdraw at any time by unsubscribing (Article 6(1)(a)).
- Recruitment sign-ups: only with your consent, which you can withdraw at any time (Article 6(1)(a)).
Under-18s
For anyone under 18, a parent or guardian completes the forms or gives consent on their behalf.
Where it's kept
Your information is stored in a secure database in London. Clearance forms can only be opened by the clinic owner.
We use a small number of trusted services to run the website and our emails. They process information on our behalf and can't use it for anything else:
- Supabase: our database, hosted in London.
- Vercel: hosts the website. Forms you send are processed in London.
- MailerLite: our emails, stored in the EU (Germany and the Netherlands). It receives your name, email address, phone number and which service you've chosen, or your recruitment sign-up details. It never receives anything from your medical history.
- Resend: tells the clinic when a form comes in. For an enquiry it carries your first name and what you've enquired about. For a clearance form it carries your name, which form you completed, and whether any safety question was answered Yes. It never carries your medical answers.
- Mux: streams the videos on our programme pages. When a video plays, it receives technical information such as your IP address and device.
International transfers
Some of these providers are based outside the UK. MailerLite stores data in the EU, which UK law recognises as giving the same protection as the UK. Vercel, Resend and Mux are US companies, and Resend stores its email records in the US. Each of them is certified under the UK Extension to the EU-US Data Privacy Framework (the “UK-US data bridge”), and their data processing agreements include the UK's standard contractual clauses, so your data has the same level of protection as it would in the UK.
How long we keep it
- Client records: 8 years after your last session.
- Children's records: until their 25th birthday (or 26th if they were 17 when treatment ended), or 8 years after their last session, whichever is longer.
- Enquiries from people who don't become clients: 12 months from our last contact, then deleted.
- Email updates: until you unsubscribe.
- Recruitment sign-ups: up to 12 months from the day you sign up, or until that round of recruitment ends if that is sooner. They are then deleted.
